Curricular Practical Training (CPT)

To participate in Curricular Practical Training (CPT), a student in the College must:

1. Confirm that he or she meets the CPT Eligibility Requirements.

2. Follow all ISSS instructions.

3. Follow all College instructions.

4. Qualify to participate in an independent study which is credit bearing either in the students’ major or a related department whose study is related to the internship. Students and instructors must follow all department rules for independent study creation set by the department in which the instructor teaches.

5. Work with their College Major Undergraduate Chair to complete the Cooperative Agreement between the internship and the major.

CPT Instructions

To participate in Curricular Practical Training (CPT), a student in the College must:

1. Confirm that he or she meets the CPT Eligibility Requirements.

2. Identify a faculty member willing to help develop an independent study course. To have the independent study course approved:

a. The student and the faculty follow departmental procedures for requesting an independent study course (this may include an application process).

b. The faculty contacts their departmental administrator to create the independent study course.

c. The department issues a permit for the independent study course.

d. The student “claims” the permit in Penn In Touch which completes the registration process for the course.

3. Once the student has registered for the independent study course, he or she must Obtain an official offer letter from the prospective employer. The letter must comply with the instructions on the ISSS site and must contain the following paragraph:

“We [the employer] offer this internship/practicum experience to you in cooperation with the University of Pennsylvania, and it is intended in part to contribute to an independent study that you will conduct under the supervision of faculty in your major program of studies.”

a. Download and complete the CPT Major Form.

b. Complete the CPT Electronic Request Form in iPenn.

c. Email or make an appointment to meet with the undergraduate chair of the student’s declared major department. The undergraduate chair will

1. Review the official offer letter and the completed CPT Major Form.

2. Sign the CPT Major Form and upload it to Penn+Box.

4. The student’s last step is to meet with an advisor in the College Office, 120 Claudia Cohen Hall, during walk-in hours, Monday-Friday, noon-4:00 PM. The advisor will:

a. Review the student’s progress toward graduation.

b. Confirm that the student has registered for the independent study course.

c. Review the CPT Electronic Request Form.

d. Review the CPT Major Form.

5. Submit CPT eform through iPenn to ISSS. Wait until receiving CPT I-20 with work authorization from ISSS to start your job.

1. If you choose to oversee an independent study connected in content to an internship the student has already secured, please follow your departmental procedures for creating an independent study course. The student must qualify to participate in a credit bearing, independent study vetted by the department.

2. Once you have created the independent study course, your departmental administrators will need to:

a. Roster the course (usually Dept 199, 299, etc.).

b. Issue a permit for the independent study course for the student to “claim” in Penn In Touch.

3. Students will need to follow-up with:

a. ISSS to complete the CPT process.

b. The undergraduate chair of their declared major department for the cooperative agreement.

c. An advisor in the College Office at 120 Cohen for final approval.

Undergraduate Chairs should follow the procedure below:

1. In order to approve a cooperative agreement between the major and the offering company, Undergraduate Chairs must first review the student’s offer letter (provided by the student) and verify that the major is related to the content of the internship.

2. If you believe the work is connected, the student should begin to fill out the form and email an electronic copy of the CPT Major Form to the Undergraduate Chair for final approval.

3. Undergraduate Chairs may approve the CPT Major Form over email or meet with the student in person. Once the form has been signed electronically, the Undergraduate Chair should:

a. Sign the completed form and label this document with the students LAST NAME_FIRST_NAME_YEAR (i.e. Kim_Jason_2017).

b. Upload a completed and signed CPT Major Form to the Penn +Box folder designated for the major.

c. Email a completed copy of the CPT Major Form to the student so they can provide a copy to the employer.

After completing the above steps, students will need to follow-up with an advisor in the College Office at 120 Cohen for final CPT approval by visiting an Assistant Dean on walk-ins Monday-Friday noon-4pm (students do not need an appointment).
