Spring

Participate in faculty advisor orientation in April/May.

Develop a familiarity with key websites and sources of information for and about students.

Develop a familiarity with Advisor InTouch (AIT)  to view student records and enter notes. If you are advising for the first time, attend an AIT training session to have an account created for you.


June, July and August

Early June 

Registration mailing is sent by the College Office to the freshman class
Mid-late June Review advising materials and information on incoming advisees.
Be accessible in person, by telephone, or via e-mail. Students will be given SAS email addresses in spring – this is the first contact for students and we strongly encourage making arrangements for phone or in-person conversations.
  AIT Checklist

Before advance registration discussions:

  • • Touch base with peer advisor(s)
  • • Check student’s “Privacy Settings” (button on left)
  • • Check student’s addresses (button on left)
  • • Read student’s advising questionnaire

During advance registration discussions:

  • • Discuss course request procedure (utilize peer advisor as needed)

After advance registration discussions:

  • • Remove “advising” hold after you have had sufficient conversations about the student’s plan for her/his first semester
  • • Leave notes in AIT after each conversation/correspondence with the student 

June 30 – July 25  Freshman advance registration

Remove registration holds during this summer advance registration period so students may submit their course selections via Penn InTouch.


August 11 Freshman course schedules may be viewed on Penn InTouch or Advisor InTouch.

August 28- Sept 2
New Student Orientation
Meet with advisees as a group and in individual appointments. Tuesday (Sept. 2) of NSO has been set aside as an advising day. You may also schedule appointments at other times during NSO when students are not in mandatory meetings. On Tuesday, Sept 2 the College will provide a boxed lunch for you and your students if you want to plan your group meeting between 11 and 2 p.m. (contact Katrina Glanzer at glanzer@sas ).

November 3-16
Advance Registration
Meet with advisees individually during advance registration (Nov. 3 - 16) to discuss their performance in fall courses and their course selection for the spring. Remove registration hold so students may submit their course selections via Penn InTouch. Make referrals, where appropriate, to support services, web sites and special programs.

Spring Semester

Check fall grades of advisees via Advisor InTouch and contact any advisees who performed poorly and have them meet with you individually.

  Meet monthly with any students on probation.

  Meet with advisees in individual sessions during advance registration (March 23-April 5) to discuss course selection for the fall, progress toward degree requirements, and major selection. Remove registration hold so students may submit their course selections via Penn InTouch.

Fall Semester of Sophomore Year AIT Checklist

Before September meetings:

  • • Read previous notes in student’s record
  • • Ensure that course load is appropriate
  • • Review transcript

After September meetings:

  • • Leave notes in AIT after each conversation with the student
 

Meet with returning students during the “Course Selection Period” (Add period) or at least be accessible to those students who have rethought their plans over the summer. Advisees may be referred to the College Office if a change of advisor seems appropriate or as a supplement to the faculty advisor.

  Meet monthly with students who were placed on probation at the end of their first year.

Meet with all students individually prior to November and advance registration to discuss progress toward selection of major and how they plan to structure the rest of their undergraduate program.  Encourage each student to set up a preliminary on-line worksheet.  Remove registration hold so students may submit their course selections via Penn InTouch.

  Assist students in identifying research possibilities and/or study abroad opportunities by making referrals to appropriate offices.

Spring Semester of Sophomore Year AIT Checklist

Before February meetings:

  • • Read previous notes in student’s record
  • • Review transcript
 

During February meetings:

  • • Make worksheet official so that students may declare their major
 

After February meetings:

  • • Leave notes in AIT after each conversation with the student
 

Review the students' proposed overall program and "sign off" on their plan to declare a major.  If you have not done so already, make sure each of your advisees has completed a preliminary on-line worksheet.  At this time update the worksheet and change its status to “Official” so the student can finish the major declaration process with his or her major department.  This major declaration process needs to be done before the end of spring advance registration.  The student’s major department will remove the registration hold so students may submit their course selections via Penn InTouch.
